Synchronize Dynamics 365 CRM and SharePoint security model using SharePoint Security Sync

Dynamics 365 CRM and SharePoint together make a great combination that provides flexibility and ease in document management. Many organizations across the world prefer to use both as a combo pack. And this combo pack can be made more formidable with our NEW upcoming productivity app – SharePoint Security Sync.

So, what is SharePoint Security Sync?

SharePoint Security Sync is a productivity app that helps in synchronizing the security privileges of Dynamics 365 CRM in SharePoint. The need to control the accessibility of Dynamics 365 CRM documents and data stored in SharePoint led to the development of this productivity app. In a way it assures same level of security for documents and records stored in SharePoint that is provided in Dynamics 365 CRM. This means whatever security is assigned for user in Dynamics 365 CRM will be replicated in SharePoint. Similarly, any changes or modification in security privileges in Dynamics 365 CRM will be synced to SharePoint simultaneously.

Why use SharePoint Security Sync?

Each application has its own unique security model. Such is the case with Dynamics 365 CRM and SharePoint. There is a significant difference between the security models of Dynamics 365 CRM and SharePoint. The same user can have different level of access in both Dynamics 365 CRM and SharePoint. It may seem that the documents or attachments that were inaccessible in Dynamics 365 CRM can be accessed by the very same user in SharePoint without any restrictions.

For example, let’s say that you have a significant number of attachments or data related to Quotes, Contracts, Opportunities, etc. in your Dynamics 365 CRM system. The access to this data is only given to the selected few top members of your team. Due to space crunch and for better storage you moved those history data to SharePoint. Once moved to SharePoint, it becomes accessible to your entire team.

This is one kind of security crisis that you can easily avoid with our new productivity app – SharePoint Security Sync.

SharePoint Security Sync enables you to safely store and manage documents in SharePoint. You can easily replicate security privileges of Dynamics 365 CRM in SharePoint. So, no more document security crisis.

How to Invoke Shared Formulas in a Canvas PowerApp

$

0

In this article, I demonstrate how to invoke a shared formula from events and controls in a Canvas PowerApp without the need to duplicate the formula many times.

The following image shows a simple calculator created as a Canvas PowerApp. This calculator has various buttons, labels and associated formulas.

Firstly, the formula used to initialise this dynamically sizable calculator is invoked from two locations. From the OnVisible event of the screen on which the calculator is placed, and from the OnSelect event of a User clickable Initialise button, named “CalculatorButtonInitialise”, on the same screen.

Here is the formula associated with the Initialise button. This formula also invokes a formula associated with the OnSelect event of the AC (All Clear) button on the calculator. This is done using the Select function; i.e. Select(CalculatorButtonAllClear). “CalculatorButtonAllClear” is the name of the AC button on the calculator.

Here is the formula associated with the OnVisible event of the screen. This formula uses the Select function to invoke the formula associated with the OnSelect event of the Initialise button; i.e. Select(CalculatorButtonInitialise). “CalculatorButtonInitialise” is the name of the Initialise button.

Here is the formula associated with the OnSelect event of the AC (All Clear) button on the calculator. The purpose of this formula is to clear the current operator, value and total.

This approach demonstrated here removes the need to duplicate the same formulas when invoked from different events and controls.

I will now demonstrate this approach for a longer and more complex shared formula invoked from many controls.

The same formula needs to be invoked when the user presses any of the 0 to 9 or the decimal point buttons on the calculator. The formula consists of common logic divided into three parts. Here is the third part of this formula that shows updating the current displayed value being entered by the user; e.g. updating the current value from 0 to 1.

To avoid having a copy of this entire formula associated with each of the number and the decimal point buttons on the calculator, I have associated it with the OnSelect event of a hidden button named “CalculatorFunctionDigitOnSelect” on the same screen.

Each of the number and the decimal point buttons on the calculator has the following two-line formula associated with their OnSelect events.

The first line of these formulas set a context variable named “varCalculatorCurrentButton” to the corresponding button; either 0 to 9 or decimal point. This variable is used as a parameter by the formula associated with the OnSelect event of the hidden “CalculatorFunctionDigitOnSelect” button.

The second line of these formulas uses the Select function to invoke the OnSelect event of the hidden “CalculatorFunctionDigitOnSelect” button. Invoking this event results in the shared formula being executed.

This approach has removed the need to duplicate the shared formula many times, once for each button.

I have also used this approach with the operator buttons on the calculator; i.e. ÷, x, -, +, % and =. I associated the shared function for these buttons with the OnSelect event of a hidden button named “CalculatorFunctionOperatorOnSelect”.

Each of the operator buttons on the calculator has the following two line-formula associated with their OnSelect events.

As with the previous example, the first line of these formulas sets a context variable named “varCalculatorCurrentButton” to the corresponding button; either ÷, x, -, +, % or =. This variable is used as a parameter by the formula associated with the OnSelect event of the hidden “CalculatorFunctionOperatorOnSelect” button.

The second line of these formulas uses the Select function to invoke the OnSelect event of the hidden “CalculatorFunctionOperatorOnSelect” button. Invoking this event results in the shared formula being executed.

Here is part of this shared formula showing branched logic that performs division or multiplication by a percentage; e.g. 100 x 10%.

In conclusion, it is possible to write, maintain and invoke shared formulas in a Canvas PowerApp using this approach. This approach simplifies the writing and testing of such formulas and reduces the occurrence of bugs and inconsistencies being introduced into these formulas because they only exist in one place rather than in multiple places.

Fuel your field service with mixed reality

Technology is transforming quickly and evolving at an accelerated pace. That evolution is significantly impacting how we work, what we work on, and how we serve our customers. As technology is speeding forward, creating greater efficiencies, its also pushing bleeding edge technologies into the mainstream.

Mixed reality is a combination of realitiesaugmented, virtual, and real world, where the user can interact with all views. Mixed reality starts with the real world where virtual objects are overlaid onto that real world view. The user remains in the real world environment while digital content is added to it.

Mixed reality has inspired countless novels and movies, painting a futuristic portrait of life, where any web-based file can be immediately accessed with a blink, swipe, or mental command. Some analysts predict that mixed reality will be a multi-billion dollar market in the next few years and some listed it among the critical technologies that businesses should prioritize. One area of business where mixed reality is playing a significant role is field service. Its safe to say that mixed reality is creating not just ripples, but a tsunami of change within the field service landscape.

Field service often consists of a boots on the ground labor force making service calls and often, ordering much needed parts and rescheduling site visits to complete the repair. All of this costs the customer and the field service organization time and money.

Enter mixed reality

Imagine the efficiencies that could be created through mixed reality. For example, your technician is at a job site inspecting a part that has failed and doesnt have the knowledge to fix it. Your technician has a couple of possible solution pathways:

  1. Call the office and reschedule a service call with a more experienced technician.
  2. Leverage mixed reality to fix the part now.

The first choice extends the customers downtime and cuts into customer and field service operating costs by creating not just one service call, but another. Days or weeks can pass until the repeat call is conducted by a more experienced technician. This choice will inevitably decrease customer satisfaction and lower first time fix rates.

The second choice empowers technicians with the ability to collaborate and solve problems faster. With heads-up, hands-free video calling using mixed reality eyewear like HoloLens or through a mobile app or PC, technicians can access the customers history and technical documentation, and view an overlay of instructions, diagrams, and specifications with step by step guidance to repair the device. Using mixed reality, technicians can share a real world view and 3D content to collaborate with remote, more experienced technicians anytime, anywhere. Through mixed reality, technicians can access technical documentation, speak to a colleague, and follow guided instructions all at the same time, thus ensuring the device is repaired properly the first time.

Leveraging mixed reality can positively impact first time fix rates by reducing repeat visits. Repeat visits are one of the most commonly tracked field service performance metrics and any movement, no matter how slight, can significantly impact operating costs and customer satisfaction.

But thats not all

Mixed reality has other benefits to field service. Possible use cases to consider include, but are not limited to:

Remote customer service. There are times when maintenance or a repair is so minor, it can be completed by the customer. Through mixed reality, a customer can be guided by a technician or customer service agent through a quick repair in minutes. The service is instant, easy, and straightforward, eliminating the cost of an onsite visit and minimizing customer downtime.

Training and onboarding. An aging workforce is a constant struggle within field service. Mixed reality can be used to train new recruits or used to support novice technicians in the field. Imagine when the newly hired technician arrives onsite, a repair sequence is received via mobile or PC, complete with 3D technical illustrations. The technician is guided through the repair process without the need of a more experienced technician. Or if the repair is more complex, the technician can receive assistance from a more experienced technician.

Remote inspections. Consider conducting inspections and walk throughs using mixed reality. You can avoid scheduling hassles to cover for out of office staff and save on travel time and expenses.

Product lifecycle information. Assuming your parts and service information are up to date, your service team can use mixed reality to confirm equipment details in the field including part numbers, device model and generation information, and operational data such as response to humidity, cold, heat, or other environmental factors.

Improve your field service world

These are just a few areas where mixed reality can improve the delivery of field service. Microsoft Dynamics 365 Remote Assist is a mixed reality tool specifically made for field service. Remote Assist empowers technicians to collaborate more efficiently by working together from different locations with Dynamics 365 Remote Assist on HoloLens, Android, or iOS devices. Remote Assist helps technicians share their real time view and solve problems with experts in remote locations. It helps reduce costs with remote inspections by combining video, screenshots, and annotations for more seamless workflows. Remote Assist is the perfect companion tool with Dynamics 365 Field Service.

Dynamic Communities User Group Summit – What We Learned and Wanted to Share

$

To briefly summarize Dynamic Communities User Group Summit, a four-day conference with 7,000 attendees, including hundreds of partners, is tough to do. Yet, as we think about the User Group Summit, there are three prevailing themes that come to mind.

Watch our summary from The Payroll Office

MICROSOFT’S MESSAGE: GP ISN’T GOING AWAY

Microsoft’s consistency in its commitment to product lines and surrounding strategy (for two years in a row) was a refreshing change. Typically, we hear an announcement that sends the users, ISVs and partners spinning. We came out of Summit with no major shifts or announcements to the lineup: Dynamics GP isn’t going away and D365 Business Central is building. These are two things in our Payroll world, that we can get behind. This focus will bring stability to partners and customers over the next year.

While D365 Business Central is growing in functionality, enhancements and global customer base, the Dynamics GP user group still remains the largest attended group for this Dynamic Communities event. As we stated, there was some peace this year that people are generally happy with the investment they have made. Microsoft is road mapping GP releases through 2020 with verbiage of 2024 “and beyond.”

In the past year, we at Integrity Data have asked Microsoft Dynamics customers to tell us more about their payroll experiences in our Payroll and Afraid Survey. Of those surveyed, 88% are using GP Payroll, representing an average of 445 employees per organization, less than 4% are outsourcing, only 9% are looking to move off Dynamics GP for their payroll and one organization with 47,000 employees is trying to move to Dynamics GP for their Payroll needs.

The Microsoft Dynamics GP customer base is large, strong, committed and energized. This was demonstrated best in the Dynamics GP general session which highlighted Mike Polino’s stellar presentation of the great, new features and a crowd that is best described using the same, four adjectives. If you haven’t seen the recent updates, check out this blog.

D365 BUSINESS CENTRAL IS THE CHOSEN CLOUD SOLUTION

That being said, Dynamics 365 Business Central has established itself as the Microsoft cloud ERP system for SMB. Last year, we were all looking at each other as if to say, “Uh, hey…you go first, dive in and test the waters. Then, we will follow.” This year, however, many Partners and ISVs – including Integrity Data - have established themselves and product offerings in a way that support customers migrating to ERP in the cloud.

There are many organizations interested in the D365 Business Central (BC) cloud system. Their curiosity is piqued. They’re paying attention to the trends and, for lack of a better word, stability from Microsoft that will give them the confidence to move forward. It appears they understood where the future is, have an increased interest in Power Apps and Power BI reporting, and would be willing to migrate over. As with any change, people are nervous; especially with dollars, training, and systems on the line. Dynamics GP and D365 BC are two completely different systems; verbiage and functions in GP are different in BC requiring patience, learning of new processes and terminology that affect the bottom line. The financial cost to migrate is dependent on what GP version you are currently running. In one of the sessions Nicole, our Payroll Consultant, attended, a gentleman mentioned that it was going to cost him nearly $20,000 just to upgrade his SQL server for this migration, not including the cost of a Partner to help with data and implementation. The migration is a big undertaking and there is currently not a migration tool or path that doesn’t involve manual processes to move data more easily from GP. There were several sessions advertised on this topic that left each attendees with a mixed bag of inadequate tools to complete the task quickly and easily. While that might be the case in late 2019, you will see this landscape change very quickly in the next six months.

Register for Deploying Dynamics 365 Business Central with Integrated Payroll

However, once you do take the step to migrate to the cloud, you won’t regret it. It has potential to help mainstream your systems in a huge way. Many customers who had migrated for both US offices and foreign offices and were pleased at how well everything is working together. That is exactly what you want to hear if you’re considering a move to Business Central. There are also financial incentives to move. We can expect to see this business line steadily growing.

THE USER GROUP COMMUNITY ROCKS

The Microsoft Dynamics community is a vibrant, family community where old friends reunite and new people get connected. Are you new to the Dynamics User Group Community and interested in more information? Check out their website or feel free to contact us for more information and to see the benefits of joining. Have you wondered if attending Summit is worth the financial investment? If you or someone you work with is a heavy user of a Dynamics ERP system or CRM, the sessions won’t leave you disappointed. The advanced networking opportunity is valuable, even if you’re not much of a people-person. Besides, you get to see us live and in person!

After attending the Dynamics User Group Summit, the final thought Integrity Data has is this: it’s a great time to be active in the Microsoft Dynamics community. We’ve been there for you and we’re still here – whether you continue to use Dynamics GP or are looking to migrate to D365 BC.

We hope you will join us.
